Description

The University Hospital Leipzig (UKL), together with the Faculty of Medicine as the second oldest German university medicine, can look back on a rich tradition. Today, the hospital with around 1450 beds has one of the most modern structural and technical infrastructures in Europe. Together with the Faculty of Medicine, it is one of the largest employers in the city of Leipzig and the region with over 14,000 identities to be managed. Every year, more than 400,000 inpatients and outpatients are treated here at the highest medical level. They benefit from the innovative research power of the scientists by quickly and securely transferring the latest findings from medical research into medical practice. The applicant management solution used so far does not offer adequate processing of job descriptions and applicant entries. No end-to-end application process, from job release to the onboarding of new employees, can be presented systemically. Workflows to support the application process and up-to-date monitoring are not possible. Large areas of the application process such as processing, forwarding and review of the applicant documents by the HR department as well as departments take place "out of the box". An objective and systemic comparability of applications requires high manual effort. The entire application process with the current solution is non-transparent, complex in terms of capacity and untimely slow. The objectives of the project Introduction SF Applicant Management are as follows: The eRecruiting solution should make it possible to map the entire recruitment process, from tender and application management to the selection process to the selection decision, for the UKL and its subsidiaries on one platform. As part of this and for IT-side support, an external consultant is required, who implements defined processes within the software solution, makes all necessary adjustments and also designs the creation of bidirectional interfaces between the SAP HCM and SAP SuccessFactors used at the UKL and implements the technical implementation. This also applies to other interfaces such as AD and IZM (IAM). Required SAP licenses (SAP SFSF RECRUITING) have already been purchased and should therefore not be part of the offer. The specific objectives are as follows: 1. Adaptation and extension of the software solution to the business processes of the UKL 2. Interaction and coordination with the IT department as well as with other instances 3. Integration of key users and relevant departments in coordination with IZM 4. Ensuring the implementation of applicant processes in the entire HR process landscape 5. Creation of templates for internal and external communication as well as for automated correspondence (cancellations, invitations) depending on the workflow in the software solution 6. Design of the surfaces (e.g. job requirement & job advertisement, application form) 7. Submission of corresponding approval processes and deadlines (workflows) 8. Creation of interfaces to the intranet and the UKL career portal 9. Enforcement of company-wide or department-internal regulations for the filing and search of jobs and applications (standardization) 10. Linking existing data in the HCM system in the environment of the software solution (SAP SF) as well as the transfer of documents from the application process to the digital personnel file 11.
