Description

. With the present call for tenders, the contracting authority intends to enter into a framework contract for the provision of services for fulfilment (bestellannahme & picking; clothing & packaging; franking), storage and delivery services including processing of the client's in-house mail, freight shipments & trade fair logistics (worldwide), mailing campaigns, returns management, packaging disposal and inventory support in accordance with these terms of reference. Due to the specific requirements of the order, in order to avoid compatibility problems, it is not possible to divide it into batches or batches. Within the scope of the destination marketing assigned to it, the client undertakes the following tasks, among others: - Participation at trade fairs and congresses worldwide - brokerage/sale of souvenirs, tickets and tickets for local public transport to end customers and dealers. The goods are sold in the Berlin Tourist Information (hereinafter "BTI") of the customer. The products must therefore be delivered to the BTIs and picked up from there if necessary. In particular, the contracting authority expects the contractor to ensure that, in the event of bottlenecks occurring, subsequent deliveries are required at short notice within a maximum of 2 hours from the request in the urban area of Berlin (including BTI at Schönefeld Airport) (exclusion criterion for performance). Currently, the contracting authority maintains the following BTIs: Berlin Tourist info: BTI in the main station ground floor / entrance Europaplatz 10557 Berlin-Tiergarten Opening hours tgl. 8 a.m. - 9 p.m. BTI at the Brandenburg Gate Pariser Platz 10117 Berlin- Mitte Opening hours 09:30 a.m. - 7 p.m. (April - October); 09:30 - 18:00 (November - March) BTI in the airport BER Terminal 1 level E0 Willy-Brandt-Platz 1 12529 Schönefeld Opening hours daily 9:00 a.m. - 9:00 p.m. BTI at Humboldt Forum EG Entrance area Schlossplatz 10178 Berlin Opening hours daily 10:00 a.m. - 6:00 p.m. The number of Berlin Tourist Info can increase or decrease during the contract period. The client shall inform the contractor of the changes in good time, but no later than four weeks before the (adapted) start of the service. Currently, the client uses a warehouse in Berlin with an average of 300 pallet spaces and about 170 shelves for information materials and sales goods. This company/warehouse handles all incoming and outgoing goods, returns management and mailings, as well as storing the client's products. This storage capacity is still required as a minimum requirement. However, the storage capacity may increase or decrease during the service period. The projector must therefore react to changes in a short-term and flexible manner. All freight and postage costs shall be kept by the Contractor as a continuous item and shall be reimbursed by the Contracting Authority against proof. The client is currently working with the enterprise software Microsoft Dynamics NAV 2018 (hereinafter referred to as "NAV"), through which all order processes are received and cleared by the contractor. The computers, including the software, will be made available to the contractor. The client reserves the right to update the software to newer versions in accordance with technical progress or to exchange it for a new company software. Interfaces to external service providers such as DHL , UPS, DPD etc. must be set up by the contractor and kept ready for operation. No additional costs will be reimbursed for interfaces or their installation, so they must be included in the total costs. The services must be provided in a framework contract in order to meet the client's high degree of flexibility vis-à-vis the increasing tasks and demands of the partners and customers during the term of the contract. The framework contract has a duration of 4 years, i.e. from 01.03.2026 - 28.02.2030. The client reserves the right (option) to extend the framework adjournment by two years until 29.02.2032. The decision on an extension shall be taken no later than 3 months before the end of the contract period. The framework contract will not specify any order volume. The individual orders are decisive on the basis of the conditions agreed in the framework contract. Demand services are requested from the contractor as part of individual orders. Sufficient human resources must be available on the part of the contractor in order to be able to call up several services in parallel. The contractor who has been awarded the contract shall plan and carry out the relocation of the warehouse. The move must be organised in such a way that a trouble-free operation is guaranteed as quickly as possible. The price for the move with about 400 pallets from Berlin Lichterfelde to the place of business of the contractor must be indicated in the price sheet. The price of the move includes, in addition to the pure transport of the pallets, an inventory at the site of the contractor as well as the inspection and storage of the goods and the recording/checking/correcting of the goods in NAV.
