Description

Market dialogue regarding procurement of a newsletter platform for Aarhus University A platform is needed to manage the distribution of e-mail newsletters at Aarhus University (AU) to both employees and external recipients. It is important that editors can perform most of the setup independently without relying on technical support, so we are looking for a solution that is simple and intuitive for our users. The platform must accommodate both frequent and occasional users, including editors from both the central administration and the faculties at Aarhus University. These editors have different needs for a newsletter solution, and the platform must therefore be able to handle newsletters with very different requirements for design, content, consent, tracking, etc. As part of preparing the procurement process, including the preparation of tender material, AU wishes to gain a thorough understanding of the market and the available solutions. Therefore, AU is conducting this market dialogue to obtain the necessary knowledge to prepare tender material of high quality, with the best conditions for sharp competition, risk mitigation for both parties, ensuring reasonable offers that focus on the right aspects (and are compliant), and where prices are also on the best market terms. The market dialogue is conducted in three steps: 1. You deliver an answer to the RFI (find our questions attached in word documents) via e-mail to: zarema.rottenburg@au.dk 2. AU selects the suppliers invited to step 3 3. Supplier meetings with dialogue, solution presentation, and "live" demonstration of the solution itself Regarding step 1) in the market dialogue, the main purpose of this RFI is to gain insight into the market. This RFI should therefore serve as in-depth background knowledge for our further work with the tender material but will also be the basis for further dialogue. Therefore, we have tried to make the RFI response as simple as possible. Deadline for Submission of RFI and Request for Participation in Market Dialogue Thursday, April 3rd, 2025, at 10:00 AM You will be contacted thereafter for the next steps in the process. AU encourages everyone to ask clarifying questions. There are no formal requirements for the submission of the RFI, so you can respond as preferred. AU especially seeks information that explains your relevant products and their suitability to support our main processes as well as your product strategy. AU will use the information collected in the RFI and market dialogue to prepare the tender material, including the contract and its appendices.
