United Kingdom-Aberdeen: Printing and related services
Aberdeenshire and Aberdeen City Councils (the Councils) are seeking to procure a Managed Print Service, incorporating their printer/scanner/fax fleets (including desktop devices and multi-functional devices), and their current externally and internally sourced print requirements (including enveloping and mailing requirements). The Councils consider that the main services of a Managed Print Service fall into the following areas:
1. Optimisation of print devices, services and supplies;
2. Supplies management;
3. Proactive maintenance;
4. Management information and billing;
5. Provision of appropriate devices (potentially not owned or leased by the Councils);
6. Production of general, office and marketing print using appropriate cost effective production processes and technology with varying levels of output from low to high production runs. It will also include finishing, storage, stock call off arrangements distribution and where necessary enveloping and mailing.
The Councils have identified that they must have visibility of costs, these must be reduced. The Councils must also have the ability to forecast future expenditure. This is in tandem with a need to reduce waste, improve energy efficiency and move towards more sustainable solutions. The Council operates an internal function (the “Print Room”) for the provision of bulk printing materials with provision being undertaken at Alford Print Room and Woodhill House Print Room for both Aberdeen City and Aberdeenshire Councils' bulk printing requirements. It has been decided to outsource this function as part of the Managed Print Service.
