PL-Warsaw: repair and maintenance services
1. The subject-matter of the contract is the servicing and maintenance service of printing systems (CPV code 50000000-5 repair and maintenance services) for the purposes of the Special Staff of the General Staff of the HR, hereinafter referred to as the customer.
2. A description of the subject-matter of the contract is set out in Annex 2 to these specifications, i.e. the price form – the contractor’s tender.
3. The settlement shall be made in accordance with the bid prices set out in the annex to the contract.
4. As part of the service provided, the contractor provides full maintenance services to XEROX’s printing systems in use by the User, located in Warsaw at ul. Radiowa 49.
5. The following printing systems are included in the scope of the maintenance service:
(a) XEROX DocuColor 8000 AP,
(b) XEROX DocuColor 260\203,
(C) XEROX DocuColor 260\262,
(D) XEROX Nuvera 144 EA,
(e) XEROX DC 4112 ENP,
(F) XEROX WorkCentre 7655.
6. In carrying out this service, the Contractor shall ensure that the facilities referred to in paragraph are maintained. 5, including the software included in the print management system, in an operational state and maintaining the high quality of copies and (or) printouts while maintaining the technical parameters as specified by the manufacturer for the duration of the contract.
7. As part of the remuneration referred to in paragraph 3, the Contractor undertakes to:
(1) the supply and replacement or repair of any consumable parts resulting from operation, supplies of consumables, including toners: colour – to cover 60 %, mono – to cover the 5 % monthly limit and to replace those consumables that the system operator is not authorised to replace (all consumables necessary for the operation of the equipment except stationery, which will be supplied by the customer);
(2) provide software versions known as ‘Maintenance Reteases’ provided by XEROX as software enhancements;
(3) telephone technical consultations (during service hours) which will enable the service recipient to obtain basic assistance for the operation of the system and the rectification of simple faults.
8. The contractor will cover labour and travel costs to the Service customer’s premises located in Warsaw at ul. Radiowa 49.
9. The response time of the service from the moment of notification shall not be longer than:
(1) 4 working hours in the event of failures preventing the system from operating;
(2) 12 working hours in other cases.
10. The response time of the service is the maximum time elapsed between the acceptance of the application (by telephone, fax or e-mail) by the Contractor until his arrival at the premises of the customer.
11. In the event of failure of the system, the Contractor must perform:
(1) on the same day when the notification of the accident was made by 11.00;
(2) on the following day when the accident notification is made after 11:00.
12. The Contractor shall ensure the performance of the service in question during the service recipient’s working hours, i.e. Monday to Friday from 700 to 1400, with the exception of public holidays.
13. The Contractor shall make available to the customer a replacement device with similar technical characteristics in the event of the performance of corrective actions for more than 24 working hours, starting from the moment of the notification referred to in paragraph. 11. Copies made on the replacement device will be accounted for at the rates set out in Annex 1 to the contract.
14. The Contractor shall be obliged to prohibit used consumables and defective parts listed in the course of maintenance and servicing.
15. Consumables consumed and used as referred to in paragraph. 14 The Contractor must render in accordance with the applicable environmental legislation.
16. The provision of the service in question must be entrusted to persons authorised to perform it. The contractor must, in accordance with Annex 7 to the ToR, demonstrate that the persons listed are at its disposal, have sufficient professional qualifications and, as regards the equipment.
DC 260/262, listed in item 3 of Annex 2 to the ToR – have access to classified information classified at least as restricted (the list should be completed in accordance with Chapter: IX(3)).
17. Personnel change in the list referred to in Chapter (III) 16, it must be preceded by notification to the customer at least one week in advance, with the simultaneous presentation of the information and documents referred to in Chapter. V. 3 TOR.
